Spot Overtime Before Payroll Does
Overtime is sometimes necessary. Surprise overtime is expensive and demoralizing, especially in medical practices where a few long weeks can blow a labor budget that looked fine on Monday.
The fix is earlier visibility, not a lecture after the pay period closes.
Set per-person limits where they matter. Weekly or monthly hour caps give schedulers a guardrail while they build, not only when finance reviews hours.
Watch multi-calendar totals. Someone working light hours at two locations can still cross overtime in aggregate. Location silos hide that until payroll.
Prefer open shifts over automatic doubles. When coverage is short, offering an open shift to willing staff is often healthier than quietly extending everyone already on the board.
Review before you publish. A five-minute overtime scan on the draft calendar is cheaper than a five-thousand-dollar surprise.
Scheduling software with overtime indicators and hour reporting, as discussed on our features page, supports that pre-publish check without turning managers into spreadsheet auditors.
Before the next pay period, export or review scheduled hours for your ten most-used staff. If any are already near a cap mid-cycle, adjust now. Prevention is quieter than explanation.
